A quarterly estimated payment date is approaching
LinkedInBefore
Reminder: the quarterly estimated tax payment deadline is coming up. Don't miss it! Contact our office if you have questions. #tax #accounting #smallbusiness
After
The quarterly payment date is the one clients treat as optional.
It is not, and the reason is that the cost of skipping it is not a flat fee — it accrues, quietly, and shows up in a calculation nobody looks at until the return is being prepared.
The more common version of this problem is not skipping the payment. It is paying the same amount as last quarter when the business had a much better quarter than last quarter.
If your income this year looks different from last year, the payment amount should look different too. That is a fifteen-minute conversation, and it is cheaper before the date than after it.
What changed: The date now carries a consequence and a diagnosis of the mistake people actually make, rather than a bare reminder and a hashtag pile. The close offers a specific, low-friction reason to make contact instead of a generic invitation.

The firm has hired a new senior associate
LinkedInBefore
We are thrilled to welcome Sarah to the team as a Senior Associate! Sarah brings 8 years of experience and a passion for helping clients. Welcome aboard, Sarah!
After
We have added a senior associate, which changes something concrete for clients.
The bottleneck in most small firms is that partners are the only people who can answer a planning question, so planning questions queue behind whatever else the partners are doing. In February that queue gets long.
The practical effect of this hire is that a second person can take those conversations, which means the planning question you would normally save for April does not have to wait for April.
If you have been holding one of those, this is a reasonable month to raise it.
What changed: The announcement is reframed around what changes for the reader rather than what happened at the firm, and it ends on a clear reason to act. The internal celebration belongs on the firm page or in an email, not in a prospect's feed.

The firm wants to promote its advisory services
LinkedInBefore
At our firm, we are more than just tax preparers. We are trusted advisors who partner with our clients to help them achieve their financial goals. Contact us today to learn how we can help your business grow.
After
Before we tell a business owner whether to change entity structure, we look at four things in this order.
How stable profit has been over two years, not one. What the owner actually takes out of the business versus what stays in it. What the administrative load looks like afterwards, which is almost always underestimated. And what the plan is for the next three years.
If someone has given you an answer without asking those four questions, they have given you a guess.
That is what advisory work looks like in practice. It is mostly asking better questions before answering the one you were asked.
What changed: The claim of being an advisor is replaced with a demonstration of advisory method. Prospects cannot evaluate an adjective, but they can evaluate a sequence of questions, and the last line makes the point the original tried to assert.

Busy season has started and the firm is at capacity
FacebookBefore
Tax season is here! Our team is working hard for you. Please be patient with response times as we work through returns. Thank you for your understanding!
After
A short note on how we work in February and March.
Response times get longer. That is a deliberate trade — the alternative is rushing returns to answer email faster, and that is the wrong trade for everyone.
What we hold to during the season: anything with a filing consequence is answered the same day, and any client whose return is waiting on us hears from us before they have to ask.
What moves to April: planning conversations and anything that is genuinely better with an hour of thought behind it.
If you are choosing a firm this month, ask how they handle the season. The answer tells you more than the fee schedule does.
What changed: An apology becomes a statement of standards with specific commitments attached. The final line converts the firm's busiest weakness into a criterion prospects will use when comparing it to other firms.

Sharing a client win from the last quarter
LinkedInBefore
Another happy client! We helped a local restaurant owner save thousands on their taxes this year through smart planning. This is why we love what we do. Call us to see what we can do for you.
After
A pattern we see most years, with the details removed.
A business has a much better year than the one before it. Nobody revisits the estimated payments, because the payments were set in a quarter when the numbers looked different. The gap does not surface until the return is being prepared, at which point the money has usually been spent.
None of this is a mistake anyone made carelessly. It happens because the estimate is treated as a fixed instruction rather than a forecast that should be revisited when the inputs change.
If your year is running meaningfully ahead of last year, that is the check worth doing now.
What changed: The identifiable client and the unverifiable savings claim are gone, replaced by the transferable pattern. It is more useful to readers, it works as advisory positioning, and it does not put a client's business into a public post.

Reacting to bad tax advice circulating online
LinkedInBefore
There's a lot of misinformation about taxes on social media right now. Don't believe everything you see online! Always consult a qualified professional before making financial decisions.
After
The advice going around that you should always maximise deductions is roughly half right.
The half that is right: plenty of owners miss legitimate deductions because nobody asked the question.
The half that is missing: your return has more than one reader. Lenders read it. Buyers read it. If you are applying for financing in the next two years, or thinking about selling, a return engineered to show the smallest possible number can cost more in borrowing capacity than it ever saved.
The question is not how low can this number go. It is what does this number need to do for you over the next thirty-six months.
What changed: A vague warning about misinformation becomes a specific engagement with one claim, granting what is true before explaining what is missing. Naming the claim gives readers something to hold; the original gave them nothing.
07
Explaining a service the firm wants to sell more of
InstagramBefore
Did you know we offer bookkeeping services? Clean books mean less stress at tax time and better business decisions year-round. DM us to learn more about our monthly bookkeeping packages!
After
"My bookkeeper says the books are clean, so why is the return taking so long?"
Clean and complete are different standards.
Clean usually means the accounts reconcile and nothing is obviously wrong. Complete means every transaction is categorised in a way that survives a question from someone outside the business.
The gap is where the time goes. Owner draws recorded as expenses. A loan sitting in income. Twelve months of a category called Miscellaneous.
None of it is a crisis. All of it takes hours to unpick in March that would have taken minutes in July.
If your books have never been read by anyone outside the business, that review is worth doing now rather than at the deadline.
What changed: A service advertisement becomes an explanation that makes the reader diagnose their own problem. The distinction between clean and complete does the selling, so the post never has to.

Year-end planning outreach in November
LinkedInBefore
Year-end is approaching fast! Now is the time to schedule your tax planning meeting. Our calendar fills up quickly this time of year, so book early to secure your spot. Link in bio.
After
Year-end planning is not a phone call about deductions. Here is what an hour in December actually covers.
Whether this year's profit is a trend or a spike, because the answer changes what you should do about it.
What the owner is taking out of the business and whether the split still makes sense at this year's numbers.
Whether a purchase you were going to make anyway should land before or after the year end, and what that does to first-quarter cash.
What next year looks like, so decisions get made against the right picture rather than the current one.
None of those are answerable in March. That is the whole reason the conversation happens in December.
What changed: Scarcity pressure is replaced by an agenda, which makes the meeting concrete enough to want. The final line supplies the urgency the original tried to manufacture, and it is a real reason rather than a booking tactic.
